Who Can Apply For This Position
- Excellent level of self-organization, motivation, and executive management
- High-level PC skills including understanding and manipulation analysis of spreadsheets for reports. Use of Outlook, Word, Excel, PowerPoint, and databases
- Experience of working in a pressurized environment where good time management skills are critical to achieving deadlines, often under pressure and prepared to go the extra mile
- Good communications skills, both written and verbal across the company at all levels

What You Have to do as an Executive Assistant
- Organizes and manages day-to-day activities for the Directors
- Optimization, ensuring efficient and effective management of time
- Raise & processes departmental invoices on CPS as required
- Monitors leave requests for direct reports
- Organizes appropriate duty travel trips, including necessary
- Plan for meetings, activities, and events up to and beyond one year out
- Communicates in both written and verbal form with external customers, agencies, suppliers, candidates, etc.
- Formulates communications on behalf of Directors, writing letters, preparing presentations, etc. as required
- Proactive management of appropriate email and diary activity
- Co-ordinates submissions for Cargo Executive Team (CET) weekly reports and other reports as required
- Organizes meetings and provides repeated support as appropriate including; room bookings, equipment, and agenda management
- Provides effective, proactive communication on all departmental activities/initiatives as required
- Produces and implements recommendations to improve office efficiency and effectiveness
- Work with other CET EAs to ensure communication in place and consistency of support provided across the departments; i.e. provide internal relief support to other CET EA communities as necessary
- Arranges team meetings and supports the team with ad-hoc requests
- Supports recruiting logistics across teams, including scheduling interviews and arranging room bookings and visitor cards for candidates
- Provides general office support such as filing, archiving & specific office requirements
- Be prepared to work occasionally out hours and travel overseas as needed.
